Proof of Booking

In order to collect your rental equipment, you or a person collecting on your behalf may be asked to show the booking confirmation/receipt or know their booking reference number. This can be printed and brought along or shown on a mobile/tablet to a member of our team.

Security & Damage Bond

All orders are subject to a security bond, a temporary fee that is held to cover potential minor damage or cleaning fees if equipment is not returned in same condition that was received. If items are returned clean and undamaged you will be notified after equipment is inspected to enable refund of amount paid. Please allow up to 3 business days for bond refunds to be initiated. Bonds are refunded via bank transfer or back to card if paid in that manner. An email will be issued post hire with bond outcome and relevant information to enable refund to be processed.

Rental Period

The dates and times selected at time of booking reserve the specified equipment over those timeframes. Early arrival or late returns are not acceptable as this may conflict with other bookings. The standard hire period is up to 3 days, this includes the day of collection and day of return. In the event you wish to amend your selected timing after reserving the booking you need to email your requested amendments and if they are available, we will manually amend your booking. It is essential to notify us if for circumstances outside of your control that the equipment will be late return to avoid commencement of theft protocols.

Damage

In the event that equipment is damaged or lost; you agree to cover the costs of repair or replacement as seen fit by Tay's Event Hire & Party Planning. The security bond will be utilised in the first instance, costs that exceed this value will be billed to the customer. Failure to pay outstanding costs for damaged equipment will result in escalation through a debt collection agency.

Theft

In the event that equipment is not returned and the customer is not contactable we will report the theft to police and raise insurance claim. Customers details will be provided to these agencies for further escalation and legal ramifications.

Cleanliness

All equipment must be returned clean; free of dirt, food/drink spills, pen marks, mould, rust/oils/grease, etc. If equipment is returned unclean then charges will be added and deducted out from the security bond. Cleaning rates start at 50c per item.

LINEN EXCEMPTION. All hired linen undergoes commercial grade laundering after hire, therefore does not need to be laundered after use however to avoid damage fees for stains it is recommended to apply spot stain remover spray to any potentially permanent stain spills such as red wine, beetroot, pen markers, cars oils/lubricant/greases or candle wax. Our linens are industry grade polyester so are ultra durable therefore general food spills will not stain.

Collection

We operate out of a home-based warehouse on Cabernet Crescent, Pine Mountain QLD 4306. Due to nature of our location we are open by appointment only for collections and returns from the warehouse collection bay.

Collection/return times can be arranged for a time between following hours:

Mon-Fri: 7am - 7pm

Sat-Sun: 8am - 6pm

The collection/return bay operates mainly as contactless (unmanned), this is to enable a larger, more flexible range of timings to collect and return. If you require assistance with loading or unloading and do not have capacity to bring assistance, choose a timeslot Weekdays between 12-2PM and Weekends between 8-10AM.

Note: For safety reasons we do not permit general public to enter the warehouse to look around, please refer to our website for product information.

Delivery

We offer delivery to a range of suburbs within Ipswich, Brisbane, Logan & Lockyer Valley & Scenic Rim. Our delivery rates cover load and unload from our delivery vehicle to your location's front entrance.

The location must be accessible for a vehicle to get within 5M of dropoff location and needs to be ground level so that our delivery person can use chair/table trolleys and other safety equipment.

Please advise us if your location has any accessibility issues such as uneven ground, no ramps, has stairs, heavily sloped driveways, dirt roads, located on a secondary level/multilevel building, or further than 5M from vehicle access. Additional fees will apply in these instances.

General delivery windows:

Mon-Fri: 7-9am or 9-11am

Sat-Sun: 8-10am or 4-6pm

Other timings may be available on request, where location is a park/venue or we are providing setup & packdown services.

Setup & Packdown/Cleaning Services

We offer setup, packdown and equipment cleaning services to customers who want a seamless, effortless event. Our quotes for these services are tailored to variables such as weight and size of equipment we are setting up, where and when it is required to be set up and packed down, time required, amount of staff required, plus any safety/accessibility equipment we will need to bring with us. Privacy Policy

Tay's Event Hire & Party Planning will collect personal information from orders to authenticate a customers identity for billing and insurance purposes prior to renting out equipment. The information collected includes customers name, address, contact details and ID verification. Information collected by our business will be stored securely on our customer database. Data collected may be disclosed to third party agencies for legal or insurance reasons such as theft, abuse, accidents, unresolved damages or reviews of service provided. A customers first name may be shared on social media platforms for the purpose of advertising customer reviews & testimonials. Photos taken by Tay's Event Hire & Party Planning or provided to us by our customers become our intellectual property and may be displayed on our website or on social media platforms.

Public Liability

It is a customers responsibility to arrange their own public liability insurance where deemed necessary for their event; such as community events. Tay's Event Hire & Party Planning take no responsibility for damage to the customers location or harm to a person for non-supervised or improper use of equipment, or of installation of equipment undertaken by the customer. Feel rest assured that we have comprehensive public & product liability insurance in the unlikely event it is required due to accident from improper installation of equipment by our staff.

Payment Options

When completing your booking through our website, you will be required to pay 50% hire total payment via Stripe (accepts most merchant cards), not including security/damage bond.

When completing your booking outside of the website, you will be asked to pay a minimum 50% of total hire value, not including security/damage bond, via EFT, transfer or cash.

Your booking is secured when the part payment is received.

When sending for a quote or invoice your order will be reserved for up to 24hrs from being provided the quote/invoice. After which time the order will be reverted to draft and your equipment no longer reserved.

An invoice will be sent at time of booking confirmation to enable the remaining balance to be paid. The remaining hire fee & security/damage bond can be paid via bank transfer (preferred) or through Stripe payment portal link (2% transaction fee added), or cash on day of rental commencement.

With the exception of cash payments, final payments are due 7 days prior to rental commencement.

Any cash payments (deposit or final balance) are accepted but communication is required in advance to ensure a member of staff is onsite to collect the cash payment; many of our collection timeslots are contactless.

Cancellations & Booking Changes

A 25% cancellation fee applies to bookings, the remainder balance paid can be refunded up to 7 days prior. All cancellations within 7 days but up to 24hrs prior are not refundable but can be transferred to a new booking or taken as a line of credit to use within 12 months; less the 25% cancellation fee.

Example: $100 booking would have a $25 cancelation fee and $75 would be available as line of credit towards a new booking, valid for 12 months.

Cancellations within 24hrs of booking commencement are not refundable or transferable and will not be offered as a line of credit towards future bookings.

Additions to the booking can be made at any time, subject to availability.

Reductions to the booking up to 7 days prior to rental commencement will be required to cancel off the relevant items, forfeiting 25% of their hire value. This policy is in place to prevent overordering equipment with expectation of reduction which causes equipment being blocked out on our website from other potential customers unnecessarily with limited timeframe to rebook. Reductions within 7 days of booking are not refundable and balance paid in full, they carry same rules as cancellations.

Security bonds are fully refundable regardless of cancelation notice period.
